How to manage a wholesale distribution business

Published 2026-11-01

Wholesale operations combine larger product volumes, repeat customers, supplier orders and payments that may arrive after delivery. Clear records connect those moving parts.

Control product, supplier and customer records

Set standard product names, barcodes and selling units. If you buy in cartons and sell individual items, define the conversion and train staff to use it consistently.

Keep supplier terms and customer credit terms clear. Track purchase orders, deliveries, supplier bills and payments separately so an order is not confused with an invoice or a paid bill.

Track fulfilment and stock by location

Record what was ordered, picked, delivered and returned. If a customer receives only part of an order, the remaining quantity and payment status should stay clear.

For multiple warehouses or branches, record transfers and confirm receipt at the destination. Reorder based on branch demand and stock already committed to open orders.

Manage receivables and review margins

Attach credit sales to named customers, set limits and review overdue balances by age. Share statements and reconcile each repayment against the correct account.

Compare sales, purchase costs, expenses and stock differences by period. Ask an accountant to validate how your system treats tax, discounts, returns and inventory valuation.
