ERP software for growing companies in Kenya
When the business has departments, branches and warehouses, the books, the stockroom, the payroll and the sales team need to work from the same records. BlueDuka's General business ERP brings them together, built in Kenya and paid by M-Pesa.
What the ERP covers
- Finance: double-entry accounting, VAT and Turnover Tax summaries, M-Pesa and bank matching, KRA eTIMS
- Payables and receivables: supplier bills, invoices with due dates, customer accounts and statements
- Procurement: staff purchase requests with approval, supplier price lists compared side by side, purchase orders, goods received and supplier performance
- Inventory and warehouses: stock per location, transfers, batches and expiry dates
- HR and payroll: employee files, payroll rules for statutory deductions, payslips and remittances
- CRM: leads, follow-ups, customer groups, notes and campaigns by SMS or WhatsApp
- Projects: tasks, materials, costs, progress updates, stage invoices and profit per project
- HR: leave requests and balances, staff rotas and performance reviews
- Business health: sales targets and plain-language findings on what to fix this month
- Fixed assets with depreciation and maintenance, and budgets tracked against real spending
- Approvals for discounts, stock changes and big transactions, and an audit trail of who did what
Connect every department. Control every operation
A department raises a purchase request; it is approved, becomes a purchase order, and the goods received update stock and the supplier's account. Sales, invoices and payments post to the books as they happen, across every branch and warehouse.
HR files, leave, payroll rules and payslips use the same staff records, budgets show spending against plan, and approvals keep large discounts, payments and returns in check. The headquarters view puts every branch, and every company you own, side by side.
Head office and branches
- A headquarters view of every branch side by side for owners and directors
- Staff see only the branches they work in; a branch manager can't see another branch's figures
- Deliveries with riders and cash collected on delivery
- Several companies under one owner: sales between them and consolidated statements (ERP Business)
- API keys and signed webhooks to connect other systems (ERP Enterprise)
Start small, add modules when you need them
Every module can be switched on or off by the owner. A company that started on BlueDuka as a retail POS or a wholesaler moves up to the ERP without starting again: products, stock, sales, customers, books and staff come with it. A factory shop or company counter can keep the point of sale.
Plans
ERP Starter KES 4,999 a month for one location and 15 staff; ERP Business KES 9,999 with 10 branches or warehouses, stock transfers and the headquarters view; ERP Enterprise KES 19,999 with no limits, the API and a dedicated account manager. Every new company gets ERP Enterprise free for a month, with no card.
Questions
What is the best ERP for a small or medium company in Kenya?
One that keeps finance, stock, procurement and payroll on the same records, works with M-Pesa and KRA, and that your team can learn quickly. BlueDuka covers all of these from KES 4,999 a month, with free training.
Does the ERP include payroll?
Yes. Employee files, pay rules for statutory deductions such as PAYE, NSSF and SHA, payslips and a remittance list. Check the rates with your accountant when they change.
Can I move from a POS to the ERP later?
Yes. A shop or wholesaler on BlueDuka moves up to the ERP from its settings and keeps everything it recorded. A free trial carries on as an ERP trial; a paid plan runs to the end of its period.
What modules does an ERP system have?
Usually finance and accounting, procurement, inventory, sales and CRM, HR and payroll, projects and reporting. BlueDuka has all of them in one system, plus a point of sale and M-Pesa, which most ERPs sold in Kenya add separately.
How much does ERP software cost in Kenya?
Large international ERPs usually need a paid setup project plus a licence for every user. BlueDuka's ERP is KES 4,999 to 19,999 a month with no setup fee, and every new company gets a month free.
Can I run several companies in one ERP?
Yes. On ERP Business and above, one owner can sell between their own companies and see consolidated statements with the sales between them taken out.
Does it work offline?
Selling, stock and purchases keep working without internet on the Android and Windows apps and on an iPhone with BlueDuka on the Home Screen. Reports across branches need the internet.
