How freelancers can manage projects and payments

Published 2026-11-01

Freelancers and small studios can lose time when project scope, approvals and payment dates live in separate messages. A repeatable workflow makes progress and responsibilities visible.

Agree on scope and milestones

Write down the deliverable, deadline, price, included revision rounds and what counts as a change in scope. Split larger work into stages such as brief, draft, review and delivery.

Send a quote before work begins and agree whether a deposit is due. Keep client approval in a record that both sides can refer to.

Track work and client decisions

Maintain a task list, owner and due date for each milestone. Record when a draft is shared, when feedback arrives and which revision round it uses.

Use a client-facing progress page or a concise status update so the customer knows what is complete and what decision is needed next.

Invoice and follow up

Create invoices that match the agreed milestone or service, include payment instructions and record deposits against the total. For recurring retainers, state the period and work included.

Reconcile received payments, expenses and outstanding balances regularly. Keep project files and accounting records organised for tax and future reference.
